Scheduling ProceduresWhen the College is in Session
(When the College is NOT in session, please contact the Office of Auxiliary Services at 315-859-4372.)
- STEP 1: Make sure there are no major conflicts with your event. Check you proposed date/time on the Master Calendar at www.hamilton.edu/applications/calendar/
(Choose "Search Events" from the menu) or call 859-4107.
- STEP 2: Call to reserve your space (see list, below).
- STEP 3: After you have reserved your space, submit your public or campus-community event to the Master Calendar. Choose "Add an Event" from the menu. Be sure to include the date, time, location, sponsoring organization, contact name, and description of the event. Do NOT assume that a lecturer is a household name!
- STEP 4: Make necessary arrangements with College Offices:

- STEP 5: If your event will draw more than 75 people, attend a Campus Activities Coordinating Committee (CACC) meeting at least 3 days prior to your event. CACC meetings are held every Tuesday at 3 p.m. in the Penney Room (second floor, Bristol Center). Representatives from Student Activities, Campus Safety, Bon Appetit Food Service, Physical Plant and Master Calendar will be there to confirm your arrangements and to ensure that all of your programming needs are met.
