All users have a maximum number of messages and a maximum amount of space they are allowed to use on the server. So, if you receive a message warning you that your quota is near its maximum, you are close to reaching one or both of these limits.
E-mail Account Limits
Students are allocated 50MB of storage and 3,000 messages.
Employees are allocated 100MB of storage and 15,000 messages.
Organizational and other accounts are allocated 25MB and 1,000 messages.
What happens if you are over your limit
Storage Size Quota Limit
Your Storage quota limit can be monitored by the Quota Percent bar in Communications Express. If you are over the maximum allowed, the percent bar will be red and will read 100% or more. When you are 100% or more, e-mail messages sent to your e-mail account are received but not delivered to your account until you delete enough mail to bring your account within your quota limits. During this time, mail that is received is stored on the e-mail server for 5 days. After 5 days, if your account remains over quota, the messages that are pending delivery are purged. The sender of the message will receive an e-mail message that you are over quota. To reduce the amount of storage your messages are using you can do the following:
Transfer unneeded messages from your mailboxes to the Trash
Your Message quota limit is not reported to you in usage "bar" like your storage quota but it can be viewed. In Communications Express you can see your message count by going to "Manage folders" (at the bottom of your list of mailboxes). If you are over your maximum message limit, e-mail messages sent to your account are discarded immediately and cannot be retrieved. The sender of the message will receive an bounce message indicating you are over quota. To reduce the total number of messages you have stored, you can do the following:
transfer unneeded messages from your mailboxes to the Trash
Empty your Trash
If you use an e-mail client (Thunderbird) you can archive your e-mail messages [need documentation]
