Office Assistant, Opportunity Programs

Position Summary:

The Office Assistant works closely with the Program Director, Assistant Director, and Educational Counselor to manage student service flow, coordinate service protocols, maintain office supplies and equipment, organize staff travel schedules, answer phones and interact with the college and general community, manage required State mandated data collection, and assist with any task associated with the execution of service delivery and service delivery effectiveness.

Responsibilities:

  • Work with director to develop and implement needed policy and procedures relating to delivery of program services.
  • Handle, prioritize information inquiries from prospective students, faculty, and the general college community.
  • Maintain appointment schedules for director, assistant director, and counselor; organize meetings, conferences, appointments, and make travel arrangements
  • Orient student workers to office procedures.
  • Provide phone reception and direct information flow, including appropriate referrals.
  • Support service delivery to students, through procedure, and acquisition of supporting documentation in order to maintain program eligibility.
  • Provide clerical and data support in meeting programs goals and objective including electronic reports; generate and execute relevant office memos and correspondence.
  • Responsible for opening and closing of office, and securing of students files.
  • Responds to general inquiries for information, communicates and interacts with visitors, donors and various support groups.
  • Maintains office supplies and equipment maintenance.
  • Performs other duties as assigned.

Qualifications:

Associates degree of high school graduate/ GED with at least three years related experience in a fast paced multi-tasking environment required.  Equivalent combination of education and experience will be considered.

Strong organizational, editorial, writing, and interpersonal skills.  Ability to juggle multiple projects effectively and work as part of a team. Proficient in data bases. Knowledge of Publisher, and MS Products. Proven creative problem solving skills, and ability to work with students and faculty from diverse ethnic and socioeconomic backgrounds. High level of attention to detail required. Must be available to work evenings and weekends as required.
