2013 Guide to Summer Housing

The Office of Residential Life has a limited amount of housing to offer students who are full time employees of the College and students who are conducting full time research advised by a Hamilton Faculty member during the summer months. Students may occupy summer housing as long as they are working/researching a minimum of 35 hours per week. Should their work commitment end, they must vacate summer housing immediately. 

Only Hamilton students of the classes of 2013, 2014, 2015, and 2016 are eligible for summer housing.

No new housing is available after July 26. (Housing is provided for full-time employees, not for early arrivals for fall semester.) ONLY STUDENTS WHO WILL BE IN RESIDENCE (IN ON-CAMPUS RESIDENTIAL FACILITIES) AT HAMILTON COLLEGE IN THE FALL ARE ALLOWED TO STAY IN SUMMER HOUSING AFTER August 2.

All standard campus policies, as outlined in the student handbook, apply to summer residents. Any students found in violation of Campus Policy will be subject to the standard judicial consequences.

 
Location
  • Summer housing will be located in ground floor of Milbank Residence Hall and Babbitt Residence Hall.
 
Moving into and out of Summer Housing
  • For students currently on campus, and who start work on or before May 26 the dates to move into summer housing will be between May 20 and May 30 unless rooms become available sooner, but should be no later than May 30.
    Students who would like to move directly from their current room into their summer room must be on campus during the full transition period, and may not leave campus until their move to summer housing is completed. Students transitioning will be notified immediately when their summer room is available and are expected to move into that room within a maximum of 24 hours of the notification. This is necessary to accommodate the cleaning of non summer housing spaces in preparation for Alumni Reunions and Summer Camps and Conferences.
  • Hamilton students living on campus for the fall 2013 semester, may transition into their fall academic housing assignments at the end of summer.
  • This transition will take place between, July 26 and August 7.
  • ALL STUDENTS NOT RESIDING ON CAMPUS IN THE FALL MUST MOVE OUT BY August 2.
  • There will be no NEW summer residents after July 26.
  • Students who are abroad or on leave during the spring semester may not move into summer housing before May 30.
 
Summer Transition Guidelines

As noted in the previous section, only students who will be in summer housing up through the end of the summer and have been assigned housing on campus for the Fall 2013 semester will be permitted to transition directly into their fall rooms and remain on campus beyond August 2. In addition, the resident must be present during the entirety of the Summer Transition period, which will be from July 26 to August 7, in order to move one’s belongings out of their summer room and into their fall room.

Since Summer Programs, construction, and other maintenance issues are taking place in the residence halls over the summer, they become available at different times for Summer Transition.

Any student that will be away for vacation or any other reason during a portion of either summer transition period will not be allowed to participate in that transition period and therefore must move their belongings entirely out of College Housing when leaving campus. At both the beginning and end of the summer it is CRITICAL that students transition into or out of Summer Housing within 24 hours of their room becoming available. At the start of summer this allows Physical Plant the time necessary to clean all non-summer housing rooms in time for Reunions, which utilize most of the remaining on-campus housing. At the end of the summer this quick movement out of Summer Housing ensures that Physical Plant is able to clean and prepare these buildings for Fall Residents who begin returning early for sports, to staff orientation programs, and other programs.

Contact the Office of Residential Life during the summer to get a better sense of when buildings should be available in order to narrow down the timeline of potential Summer Transition moves. When possible, students who currently live in a summer housing building and who will be transitioning directly to summer housing will be pre-assigned to their current room. Additionally, students who will be living in a Summer Housing Building in the Fall, and who will transition from summer housing into their fall room will be pre-assigned to their Fall room for the summer.

 
Provisions of Summer Housing

All summer residents are required to follow the policies and procedures of the student handbook. The following are additional provisions established specifically for summer residents:

  1. Summer housing is only available to Hamilton College students employed full-time (35 hours or more a week) by the college.
  2. Rent will be at a rate of $42 per person, per full week of occupancy in a single room. Occupancy means either you or your belongings are in the room. A limited number of doubles are available, but can only be chosen by two people (the room must be filled) and rent will be $28 per week, per person. Rent charges start on May 22. The final day that rent will be charged is August 11.
    1. All summer rent will be applied to the renters student account at the end of the summer term.
    2. Conversations are currently happening regarding charging graduated seniors in the beginning of the summer rather than the end to ensure bills are paid in full. More information will be available once decisions are made.
  3. Only students who live outside a 25 mile radius of campus will qualify for on campus housing unless special circumstances apply.
  4. In the event of absence from the room, rent must still be paid. If you will be leaving during a portion of the summer and wish to avoid paying rent during that time, you must take all of your belongings with you and must properly check out with the Office of Residential Life. No storage of belongings is available. Any articles found in a room, hallway, or lounge areas after a student has moved out or after the date of occupancy has passed, will become the property of the College and will be disposed of. ONLY RESIDENTS OF THE ROOM SHOULD HAVE FURNITURE IN THE ROOM. STORING BELONGINGS FOR INDIVIDUALS NOT IN SUMMER HOUSING IS NOT RECOMMENDED AND ANY BELONGINGS LEFT AFTER THE MOVE OUT DATE WILL BE DISPOSED OF. Students will be charged for removal of personal items.
  5. No person other than the student(s) assigned to the room shall occupy the room.
  6. The room will be maintained in good condition; the Office of Residential Life should be notified in the event of mechanical or other maintenance problems.
  7. Maintenance and Operations or Safety and Security work may necessitate access to summer residences. The Office of Residential Life reserves the right to offer such access without prior notification in order to accomplish ongoing maintenance or safety work. However, we will attempt to contact residents to inform them of what needs to take place if at all possible.
  8. The residence hall will be locked, and residents will be given access through their Hill Card. In the interest of personal safety and property protection, all summer residents agree not to loan access cards to anyone and agree not to prop open any outside doors to the building at any time. Additionally, students may not utilize ground level windows as entrances to the building.
  9. As the building will be locked, only summer residents and their accompanying guests will have access to the inside of the building. Therefore, the summer residents will be responsible for any damage that occurs and for missing items in the building during the period of occupancy. Damage and extra cleaning fees will be prorated to all residents.
  10. As members of a residential academic community, we all share the responsibility for creating and maintaining an atmosphere that is conducive to learning and to personal growth. Perhaps of greatest importance is an attitude of tolerance and respect for individuals. Hamilton will not accept behavior that abuses or shows contempt for the persons, opinions, life styles, or property of others.
  11. Pets are not permitted. Anyone found to have a pet (other than fish) will be in violation of the student conduct code and subject to eviction, as well as possible judicial consequences. Furthermore, they will be responsible for all costs resulting from the cleaning and fumigating of the premises.
  12. No new housing is available after July 26. (Housing is provided for full-time summer employees, not for early arrivals for fall semester.) Only students who will be in residence (in on-campus residential facilities) at Hamilton College in the fall are allowed to stay in summer residence locations after August 2.
  13. All Summer Residents will be held accountable for excessive noise or other disturbance. Any behavior not in accordance with the rules and regulations set forth in the Hamilton Student Handbook may result in eviction from campus housing.
  14. All Summer Residents must vacate their assigned room and return their keys to the Office of Residential Life on the date agreed upon by Residential Life. Failure to return your key by this time will result in a charge of $25 for each unreturned key.
  15. No storage of any kind is permitted in public areas. Any personal property left in public areas will be removed by the College. The College reserves the right to terminate the lease at any time without cause.
 
How to Apply for Summer Housing

The summer housing lottery will take place on Thursday, May 9 (location TBA). Only students transitioning directly into summer housing (meaning they begin work on campus on or before May 30) will be allowed to participate. Furthermore, to be allowed to go through the lottery, a student must register for summer housing by completing the Summer Housing Application form. This form is available in the Residential Life office and needs to be submitted in the Office of Residential Life by 4 p.m. on Friday, May 1.

If you cannot attend the lottery, you may send a proxy in your place to select a room. You can designate a proxy by filling out a proxy form at the Office of Residential Life. This form can be found on the Residential Life web page. If necessary the form can be emailed to reslife@hamilton.edu. More specifics of the lottery will be emailed to you after the close of sign-ups on May 1.

Those students beginning jobs after May 27 will be allowed to select from available housing shortly before their arrival, and therefore will not participate in the room lottery. Those students must contact  Residential Life approximately one week before arriving on campus. At that time, the student will have the opportunity to select a room from the available options. Single rooms are generally available at all times of the summer.
