To Members of the Hamilton Alumni Association:
In the next few weeks, you will receive a very important Hamilton College mailing regarding the annual election of Alumni Trustees, including your ballot for that election. Please read these materials carefully and participate in the election by casting your ballot promptly. To be counted, your vote must be received by Elections USA, the independent firm that is managing the election, on or before the date indicated in the mailing.
Background: Each year, three candidates are nominated by the Alumni Council for four-year terms as Alumni Trustees. In addition, there is a process through which alumni may petition for candidacy by obtaining 25 alumni signatures. This year, there are seven candidates for Alumni Trustee -- three nominated by the Alumni Council and four nominated by petition. As a result, a direct election is required and ballots will be mailed to all members of the Hamilton Alumni Association in a mailing that includes biographical information and brief candidacy statements from each nominee. The three candidates with the highest number of votes will be elected to fill the three vacancies for Alumni Trustee.
In an effort to limit the amount of e-mail you receive from the College, candidates have been asked not to use e-mail mass mailings or listservs as campaign tools. Candidates have been provided the use of a professional mail house for campaign mailings, and as an electronic alternative are welcome to use the HOLAC message boards. Procedures governing the election can also be found on HOLAC.
The results of the election will be announced to alumni on HOLAC as soon as possible after they are certified by the independent firm counting the ballots. Announcements also will be published in the next edition of the Hamilton Alumni Review and its online supplement (formerly eNews).
I urge you to participate in this very important election for alumni representation on the Hamilton Board of Trustees and to cast your ballot promptly.
